Received vs shipped — the reconciliation

The question this report answers: how many Octane bottles were received into the warehouse, and how many went back out to the tour. Both sides are now documented — two intakes totalling 8,496 received against 6,950 shipped over 18 packing slips, reconciling to 1,546 bottles on-hand (the 6/8 intake was recounted from 85 to 65 cartons, −720, assuming 36/box). Of the 6,950 shipped, 350 (Las Vegas + Denver) are packed but on hold in the warehouse pending release — so physical on-hand is 1,896 today (§04). WMS cross-check in §05; the standing 100-unit Montreal variance is in §06.

// Received in two events: 6,156 (5/14, MAY_IN PL) + 2,340 (6/8, IN-260608-DON, recounted 65 cartons × 36) = 8,496. The 6/8 intake was originally entered as 85 cartons (3,060) — corrected to 65 (2,340), a −720 swing (assumes 36 units/box; subject to a unit-count variance). Shipped: 6,950 across 18 slips, all internally verified and matching the carrier-invoice summary 1:1. On-hand: 8,496 − 6,950 = 1,546. Of the shipped total, Las Vegas (100) + Denver (250) = 350 are packed but on hold pending Naja's release, so physical on-hand today is 1,896. WMS shows 2,166 and needs −720 (6/8 recount) and +100 (Montreal, §06) to tie to 1,546.

02

Inbound — what was received

The Octane bottles came in two receiving events: the initial bulk intake on 5/14 (6,156), then a mid-tour replenishment on 6/8 (2,340) that landed the same day as the Texas shipments. Total received: 8,496. The 6/8 intake was originally entered as 85 cartons and recounted to 65 cartons (−720); unit totals assume 36 units/box and may carry a count variance.

Outbound — bottle shipments to the tour

Thirteen bottle packing slips for the East & Central legs, venue by venue, May 20 → Jun 24. Standard carton = 36 bottles; final carton on each load carries the remainder. Carriers shifted from FedEx (early rush) to UPS on the VIP Nation 3rd-party account. The five West Coast loads are listed separately in §04.

// East & Central leg: 13 slips / 4,500 bottles (Philadelphia, Pittsburgh, Elmont, Boston, Newark, MSG, Baltimore, Detroit, Toronto ×2, Dallas, San Antonio, Oakland). West Coast leg (§04) adds 5 slips / 2,450 → 18 slips / 6,950 total. Bottle shipments only — two non-bottle Octane loads are tracked in §6: SHP-00054 (5/11, 3,000 VIP laminates) and SHP-00069 (5/20, 3,000 VIP lanyards), both clean in/out passthroughs and neither counted in the bottle total.

West Coast leg — closing out (Las Vegas + Denver on hold)

The five West Coast loads (SHP-00164–168) close out Tour Leg 1. Los Angeles is delivered, Phoenix has shipped, and San Diego goes out today; Las Vegas and Denver are on hold pending Naja's release and remain physically in the warehouse. Tracking numbers match the delivery plan exactly. LA went out by hand via cargo van; the rest pre-staged on UPS to land on each show date. Method follows the delivery window: when we have a confirmed deliver-by date with only a tight window, UPS 3-Day Select guarantees the product lands at the venue on time; when there's a 2-day cushion, UPS Ground covers it at lower cost. The sooner each order's deliver-by date is confirmed, the more shipments we can spec to the cheaper lane.

// All five tracking numbers reconcile against the delivery plan exactly (1:1, no qty drift). LA 1,200 hand-delivered by cargo van 6/26 ($280, carrier "Damian"/zeroUV). Colorado slip header reads 8 cartons but lists 7 — header typo; units (250) are correct. Carrier rule going forward: 3-Day Select when the window is tight, UPS Ground when there's a 2-day cushion — so earlier deliver-by confirmation = more shipments on the cheaper lane. These five close out Tour Leg 1; combined with the East & Central leg, total outbound is 18 packing slips / 6,950 bottles. STATUS: Los Angeles delivered (6/26), Phoenix shipped, San Diego out for delivery today; Las Vegas (100) + Denver (250) are packed and staged but ON HOLD pending Naja's release — that 350 is physically still in the warehouse, so physical on-hand is 1,896 until they release.

Bottle reconciliation ledger

Both sides are documented: 8,496 received across two intakes (5/14 + 6/8, the 6/8 recounted to 65 cartons) against 6,950 shipped across 18 slips — leaving 1,546 on-hand. Enter the WMS on-hand figure to reconcile live; the ledger computes the variance. Editable as recounts or damage adjustments come in.

// On-hand = (intake 1 + intake 2) − shipped + returned = 1,546. WMS shows 2,166 — over by 620 = the 6/8 over-entry (+720, correction pending) net of the Montreal short (−100, JOB-0956, §06). Correct WMS −720 (6/8 recount) and +100 (Montreal) to tie to 1,546. Note: 350 (LV + Denver) are packed-but-held, so physical on-hand is 1,896.

// Method: received = 6,156 + 2,340 = 8,496. On-hand = 8,496 − 6,950 = 1,546 bottles remaining at the close of Tour Leg 1 (1,896 physical, incl. 350 packed-but-held for LV + Denver). WMS shows 2,166 and needs two corrections to tie to 1,546: −720 for the 6/8 intake recount (85 → 65 cartons, pending) and +100 for the Montreal cancellation (JOB-0956, §06). 1,546 is the opening balance carried into Tour Leg 2.

// Both loads shipped complete: received in and sent straight back out at the same count (3,000 = 3,000). No leftover, no variance — excluded from the bottle ledger and noted here only for completeness.

Tour Leg 1 — closing out (2 on hold)
All 18 bottle slips are written (Boston → Colorado); 16 are out (delivered or in transit) and the two passthrough loads closed in = out. Las Vegas + Denver (350) are packed but on hold pending Naja's release. The bottle ledger ties to 1,546 on-hand (1,896 physical, incl. the 350 held). Once LV + Denver release and ship, 1,546 carries forward as the opening balance for Tour Leg 2.
⚑ WMS actions — 6/8 recount (−720) + Montreal restock (+100)
WMS shows 2,166 vs the corrected verified on-hand of 1,546 — two adjustments are needed. (1) 6/8 intake recount −720: IN-260608-DON was keyed as 85 cartons (3,060) but recounted to 65 (2,340) — correct the intake in WMS (assumes 36 units/box; a unit-count variance is possible). (2) Montreal restock +100: the 50-bottle Montreal, QC order (anjae@titol.com, 5/26) was bundled into exit JOB-0956 alongside Toronto, picked twice across the original 6/1 + rescheduled "Wednesday" runs, then cancelled 5/28 ("this order has been cancelled") and never restocked — a 100-unit phantom deduction; the bottles are physically on the shelf. 2,166 − 720 + 100 = 1,546.
Tour Leg 2 — begins later
A second leg starts on a later date and will draw from the 1,546 on-hand (or a fresh intake if Leg 2 demand exceeds it). The 350 held for Las Vegas + Denver ship to those venues on release, so they don't carry into Leg 2 stock. Shipments will be planned to spec as venue dates land.
Shipping spec — confirm deliver-by dates early
The sooner each Leg 2 order has a confirmed deliver-by date, the more precisely we can spec the carrier: UPS 3-Day Select guarantees product lands at the venue when the window is tight, and UPS Ground covers it at lower cost whenever there's a 2-day cushion. Early dates = more shipments on the cheaper lane.
